Mid-Year Enrollment: Families Can Switch Schools Anytime

Written By: Wellspring Global Academy |  October 19, 2026

Families do not always know in August that a school is the wrong fit. Sometimes the signs show up in October, or after the winter break, and waiting until the following fall is not a realistic option for a child who is struggling. Changing schools in the middle of the year is possible, and at an online school with rolling admissions it can be done without derailing a student's progress. This guide explains what mid-year enrollment looks like at Wellspring Global Academy, what rolling admissions means in practice, how to protect your student's credits, and what the first weeks after a switch actually involve.

What Rolling Admissions Actually Means

Wellspring offers rolling admissions, which means students can enroll at any point throughout the year. Many families align with the August and January start dates, but the flexible, asynchronous model accommodates mid-year transfers whenever they are needed. Coursework is accessible on your family's schedule, and year-round enrollment is available, so there is no single window you have to wait for.

Rolling admissions also means your student is not dropped into a class in progress and left to catch up alone. Because coursework is organized around flexible pacing, a student who joins mid-unit is not expected to have absorbed material they were never taught. Every enrolled family is paired with a dedicated Educational Concierge who builds a transition plan for academic continuity from day one, and teachers meet the student where they actually are.

Common Reasons Families Switch Mid-Year

Families arrive at Wellspring partway through the year for a range of reasons:

  • The current school is not the right academic fit, and waiting a full year is not an option.
  • A student has fallen behind after illness, a move, or a hard semester and needs a supported path back on track.
  • A student needs more flexibility for training, performances, travel, or managing a health condition.
  • A family is relocating and wants an education that stays consistent through the move.
  • A student needs a more supportive environment than their current school provides.

Whatever the reason, the enrollment path is the same.

How Mid-Year Enrollment Works

The process is identical whether you join in September or in February. Here is what it looks like from start to finish:

  1. Submit your inquiry. Fill out the online form and an admissions specialist reaches out promptly to answer your questions and walk you through next steps.
  2. Complete the enrollment application. When you are ready to move forward, complete the secure online application, which helps the team understand your student's background, grade level, and learning goals.
  3. Submit your documents. Gather and upload the required documents. Your admissions specialist guides you through this step and helps if anything is missing.
  4. Admissions consultation. Once your application and documents are received, your specialist schedules a one-on-one consultation to cover program details and confirm next steps.
  5. Confirm enrollment. You receive an invoice for your first month's tuition. Once payment is received, enrollment is confirmed and onboarding begins.
  6. Meet your Educational Concierge. Your dedicated Concierge reaches out to introduce themselves, finalize your student's course plan, and make sure your family is ready for day one.

Once all required documents are received, most enrollments are completed within three to five business days. A one-time $50 application fee is due at enrollment and is credited toward your first month's tuition once enrollment is confirmed.

What You Will Need to Enroll

Standard enrollment documents include:

  • Proof of student age and identity (birth certificate or passport)
  • Proof of residence (utility bill, lease, or mortgage statement)
  • Most recent academic records (report card or transcript)
  • Withdrawal form from the previous school, if transferring
  • Parent or guardian photo ID
  • Special education documentation if applicable (IEP, 504 plan, evaluation reports)

If a document is not immediately available, your admissions specialist will help identify alternatives. Families transferring from a homeschool program can provide whatever records they have, such as portfolios, transcripts, or curriculum documentation.

Protecting Your Student's Credits

One of the biggest concerns about switching mid-year is whether credits will carry over. As of June 2026, Wellspring is fully accredited through Cognia, one of the most respected accrediting bodies in K-12 education, with recognition extended through its three divisions, NCA CASI, NWAC, and SACS CASI. For a transferring student, that recognition is practical rather than abstract:

  • A Wellspring diploma and transcript are broadly recognized by colleges, universities, employers, and licensing bodies.
  • Cognia accreditation strengthens credit recognition, although receiving institutions always make their own transfer decisions.
  • Your Educational Concierge team provides complete transcripts and supporting documentation to make the process as smooth as possible.

For more on how accreditation shapes the college path, read How Cognia Accreditation Affects College Admissions, and you can learn about the accrediting body directly at cognia.org.

When There Are Transcript Gaps

If your student arrives with incomplete courses or credits that will not transfer, Wellspring's Credit Recovery program, also called the Academic Mastery Program, offers a path forward. It is fully online and self-paced, built around genuine mastery rather than rushing to check a box, and it serves several kinds of students:

  • Transfer students with transcript gaps or non-transferable credits
  • Students who have fallen behind due to illness, family circumstances, or school transitions
  • Students who want to get back on track before a new school year begins

Recovered credits meet the same academic standards as all Wellspring coursework, and the transcript does not distinguish them from regular credits. Summer credit recovery is also available.

What to Expect in the First Weeks

A mid-year switch is easier when families know how the school day is structured. Wellspring combines scheduled live sessions with self-paced independent work. Students typically join two to four live sessions a day depending on grade level, and recordings are available for any session a student cannot attend. Independent work is completed on the student's own schedule within weekly progress expectations. In the elementary years, parents serve as Learning Coaches who provide supervision and encouragement alongside the teaching team, and your Educational Concierge helps you calibrate the right level of involvement.

Making the Academic Transition Smooth

A mid-year switch works best when someone is paying attention to the details, and at Wellspring that person is your Educational Concierge. Your Concierge reviews your student's transcript, identifies what needs attention, and builds a realistic plan with clear milestones. They handle course selection, scheduling, and progress monitoring, stay involved all year coordinating with teachers, and prioritize responding to families within one business day, so questions during the adjustment period do not sit unanswered.

Where it helps, the team may recommend a placement assessment in a specific subject to make sure your student starts in the right course level. This assessment informs the learning plan rather than determining admissions eligibility, so there is no entrance exam standing between your family and a fresh start.

Support for Students With Learning Needs

Families switching mid-year often have a student with an IEP, a 504 plan, or other documented needs, and continuity of support is a real worry during any transfer. Wellspring works closely with families to review existing documentation and implement appropriate accommodations. The team partners with previous schools to gather records and hosts a personalized transition meeting so the start is smooth. Finding Community After a Mid-Year Switch

Joining a new school partway through the year can feel socially daunting, so it helps to know that virtual learning at Wellspring is community-based rather than isolated. Students connect with classmates through live interactive sessions, collaborative projects, virtual clubs, student government, advisory groups, and virtual events including lunch bunches. Because these activities are scheduled and teacher-supported, a student joining mid-year is not left to break into established cliques on their own.

Interest-based clubs give new students an easy entry point, with offerings that include debate, creative writing, coding, art, environmental science, and gaming, alongside academic competitions and service learning projects. Wellspring also encourages students to keep up local activities, so a child keeps familiar connections at home while building new ones online.

Understanding the Cost of a Mid-Year Move

Wellspring's tuition is priced by grade level, with current rates available by request on the Tuition and Fees page and payment plans offered annually, by semester, or monthly. Several forms of assistance can help make a switch manageable:

  • Need-based financial aid for families who demonstrate financial need
  • Merit scholarships for qualifying students
  • A sibling discount for families enrolling more than one student
  • A military and first responder discount
  • Education Savings Account (ESA) funding in Arizona, Arkansas, Louisiana, Texas, West Virginia, and New Hampshire

Families typically receive the single most beneficial discount or aid package rather than combining several. Your admissions specialist will help identify what applies to your family.

See Wellspring Before You Decide

You do not have to commit sight unseen. Wellspring hosts a free Virtual Open House on the first and third Thursday of every month at noon CT (1 p.m. ET), with a program overview, a live platform tour, a chance to meet the team, perspectives from current families, and a live question-and-answer period. Sessions are recorded for anyone who cannot attend, and the admissions team is available for a one-on-one consultation at any time.

Switching mid-year is a bigger decision than the paperwork suggests, and the right support makes the difference between a rocky landing and a genuine fresh start. If you are ready to explore a change, contact the Wellspring admissions team to talk through your student's situation and build a plan that starts the moment you are ready.
